On the Document Library Settings page, click Versioning Settings in the General Settings
column.

In the Content Approval section of the Versioning Settings page, select Yes, as shown in
Figure 11-4.

In the Draft Item Security section, leave the default “Only users who can approve items (and the
author of the item)” option selected.

Click the OK button at the bottom of the page.

Return to the document library using the breadcrumb navigation link at the top of the page. The
document library now has the Approval Status column added to it.

To see content approval in action, publish or upload a workbook into the document library. The
approval status of the workbook is Pending, as shown in Figure 11-5.
As long as the state remains Pending, no one except the workbook author and users who have Approval
permissions can view the workbook. In fact, no other users even see it in the list of files in the document
library. A powerful aspect of this feature is that if the workbook author changes the workbook and saves an
updated copy, the status is changed to Pending again, but the viewers still see and have access to the last
approved version of the workbook. The updated workbook is available only after it has been approved.
