Copying Formats with the Paste Options Button
To copy and paste a format:
1. Click the Documentation sheet tab to make that worksheet active, and then
select the range A1:A2 .
2. In the Clipboard group on the Home tab, click the Format Painter button
. The
formats from the selected cells are copied to the Clipboard.
You can double-click the
Format Painter button to
paste the same format
multiple times. Click the
Format Painter button
again to turn it off.
3. Click the Yearly Sales sheet tab to make that worksheet active, and then select
the range A1:A2 . The formatting from the Documentation worksheet is removed
from the Clipboard and applied to the selected cells. Format Painter does not
copy formatting applied to text selections within a cell, so the red color you
applied to “Comp” was not included in the pasted formatting.
4. Double-click cell to switch to Edit mode, and then select Comp in the cell. A1
5. In the Font group on the Home tab, click the Font Color button arrow , and
then click Red (the second color) in the Standard Colors section. The selected text
changes to red.
6. Press the Enter key to exit Edit mode.
7. Select the range A1:A2 in the Yearly Sales worksheet, and then repeat Steps 2
through 6 to copy the formatting to the range A1:A2 in the Monthly Sales
worksheet.
Copying Formats with the Paste Options Button
Sometimes you want to copy and paste more than a cell’s formatting. When you want
to paste the formatting from a copied range along with its contents, you can use
the Paste Options button . As shown in Figure 2-20, each time you paste, the Paste
Options button appears in the lower-right corner of the pasted cell or range. When you
click the Paste Options button, you can choose from a list of pasting options, such as
pasting only the values or only the formatting.
